NCP Days in EPF ECR Filing: Calculation Rules, Formula & Common Error Fixes (2026)

Every month between the 1st and 15th, thousands of Indian payroll managers, chartered accountants, and HR executives face upload failures on the Employees' Provident Fund Organisation (EPFO) Unified Employer Portal. Over 70% of these ECR upload rejections stem from a single data point: Non-Contributory Period (NCP) Days.

Executive Summary & Golden Rules

  • ✓Definition: NCP Days = days during active employment for which no wages were earned (Loss of Pay, unpaid medical leave, unauthorized absence).
  • ✓The Mid-Month Joining Rule: If an employee joins mid-month (e.g. 16th), days prior to joining are NOT NCP days. NCP days should be 0 (unless they took unpaid leave after joining).
  • ✓Wage Ceiling Pro-Rata: When NCP days > 0, the ₹15,000 statutory wage ceiling is reduced proportionally based on contributory days.
  • ✓ECR Field Position: Field 11 in the standard #~# ECR 2.0 text file.

1. What Are NCP Days in EPFO Terminology?

Under the Employees' Provident Funds and Miscellaneous Provisions Act, 1952, both the employer and employee contribute 12% of the employee's basic wages, Dearness Allowance (DA), and retaining allowance toward retirement savings. However, when an employee is absent without pay or takes Loss of Pay (LOP) leave, they do not earn wages for those specific days.

The EPFO defines Non-Contributory Period (NCP) as the period during which an employee continues to be on the rolls of the establishment but earns no wages, and consequently neither employer nor employee contributions are remitted.

Important Distinction: Paid leaves (Casual Leave, Sick Leave, Earned Leave) and statutory weekly offs / paid festival holidays are contributory days. They are never counted toward NCP days.

2. The Exact NCP Days Calculation Formula

In a standard monthly payroll cycle, NCP days are computed using the following formula:

NCP Days = Calendar Days in Month - Paid Days
where Paid Days = Worked Days + Approved Paid Leaves + Paid Weekly Offs + Paid Holidays

Alternatively, if your HRMS tracks unpaid leaves directly:

NCP Days = Unapproved Absences (LOP) + Approved Leave Without Pay (LWP)

3. Five Practical Scenarios Every Payroll Executive Must Know

1Scenario A: Full-Month Employee with 4 Days LOP

An employee with ₹20,000 basic salary works in October (31 calendar days). They took 4 days unapproved leave without pay (LOP).

  • Calendar Days: 31
  • Paid Days: 27 (Worked days + Weekly offs)
  • NCP Days to report: 4
  • Contributory Days: 27

2Scenario B: Mid-Month Joiner (Joined October 16th) — The #1 Blunder

An employee joins on October 16th and works the remaining 16 days without taking any unpaid leaves. Many payroll clerks enter 15 NCP days (for October 1st to 15th). This is wrong!

Correct Rule: The employee joined on October 16th. Their Date of Joining (DOJ) is 16/10/2026. Prior to this date, they were not employed by you.

Correct NCP Days = 0

If you enter 15 NCP days, the EPFO system reduces their allowed wage ceiling to 16 days, but since the DOJ is already passed in master data, it creates an internal discrepancy and flags a wage ceiling warning.

3Scenario C: Mid-Month Resignation / Exit

An employee resigns on November 10th with Date of Exit (DOE) marked as 10/11/2026. Total calendar days in November = 30.

  • Days worked prior to exit: 10
  • Unpaid leave during working period: 0
  • NCP Days = 0 (The period after exit date is governed by Date of Exit, NOT NCP days).

4Scenario D: Zero Earnings (Full Month Unpaid Sabbatical)

An employee is on approved sabbatical or unpaid leave for the entire month of April (30 days).

  • EPF Wages: ₹0
  • EPS Wages: ₹0
  • EDLI Wages: ₹0
  • Employee Share: ₹0 | Employer Share: ₹0
  • NCP Days = 30
  • Note: Reporting an employee with 30 NCP days maintains their UAN continuity so the EPFO knows they are still employed and not unlawfully terminated.

4. How NCP Days Affect the ₹15,000 EPF Statutory Wage Ceiling

The EPFO enforces a statutory wage ceiling of ₹15,000 per month for compulsory provident fund and pension calculations. When an employee has NCP days, this ceiling is pro-rated according to the contributory days:

Pro-Rated Wage Ceiling = (₹15,000 / Calendar Days) × (Calendar Days - NCP Days)
Month LengthNCP DaysContributory DaysPro-Rated Ceiling (₹)Max EPS (8.33% Cap)
31 Days (e.g. October)031₹15,000₹1,250
31 Days526₹12,581₹1,048
30 Days (e.g. November)1020₹10,000₹833
28 Days (February)721₹11,250₹937

If the reported EPS wage in Field 9 of your ECR file exceeds this pro-rated limit, the EPFO validation engine will immediately throw error: "EPS wages cannot be greater than the pro-rated ceiling for given NCP days."

5. ECR Text File Structure & Field 11 Position

When you prepare the monthly ECR text file for upload on the EPFO employer portal, each employee record is a single line separated by the delimiter #~#. There are 11 fields in ECR 2.0:

UAN#~#MemberName#~#GrossWages#~#EPFWages#~#EPSWages#~#EDLIWages#~#EE_Share#~#EPS_Share#~#ER_Share#~#NCPDays#~#RefundOfAdvances

Example Record with 3 NCP Days in a 30-Day Month:

Notice that Field 10 is the NCP Days count (3) in this layout.

6. Common EPFO ECR Upload Error Codes & How to Fix Them

Error 1: "Wages greater than ceiling with NCP days"

Cause: You declared 5 NCP days, but entered ₹15,000 as EPS wages. The maximum allowed EPS wages for 26 contributory days in October is ₹12,581.
Fix: Reduce EPS wages to the pro-rated ceiling or correct the NCP day count in your payroll engine.

Error 2: "NCP days cannot be greater than calendar days of the month"

Cause: An employee was marked with 31 NCP days during April, June, September, or November (which have only 30 days).
Fix: Ensure your HRMS validates month length before writing the ECR text file.

Error 3: "Member joined mid-month but NCP days match entire prior period"

Cause: Entering 14 NCP days for someone who joined on the 15th.
Fix: Set NCP days to 0. Days prior to date of joining are not non-contributory days.

7. Automate ECR & Attendance Sync with MicroPlesk

Calculating NCP days by cross-referencing biometric punch logs with leave application emails in Microsoft Excel is error-prone and consumes hours during critical month-end payroll closures.

With MicroPlesk, your eSSL and ZKTeco biometric devices push live punch logs directly to the cloud. When an employee takes unapproved leave, the attendance engine flags it as Loss of Pay (LOP), adjusts payable days, pro-rates EPF wages, and generates an exact 100% compliant ECR text file ready for instant upload to the EPFO portal.

Zero ECR Upload Rejections

Automate Biometric Attendance to EPFO ECR Text File

MicroPlesk calculates exact NCP days, handles mid-month joiners, enforces the ₹15,000 pro-rated ceiling, and generates ready-to-upload ECR files for under 50 employees at a flat ₹2,399/month.
