Important Notice on Location Data Collection & Mobile Permissions
The MicroPlesk mobile application collects and processes precise GPS and network-based location data to facilitate geofenced attendance check-ins, duty verification, and shift management for employee workforce operations.
1Introduction & Scope
MicroPlesk (“we,” “our,” or “us”) provides human resource management systems (HRMS), biometric hardware synchronization, attendance tracking, and payroll compliance software. This Privacy Policy governs all users of:
- The MicroPlesk website and customer portals (
microplesk.comand related subdomains). - The MicroPlesk Employee and Admin Mobile Applications available on Google Play and Apple App Store.
- The cloud-based SaaS platform and self-service Progressive Web App (PWA).
By using our mobile apps or web portal, you acknowledge and agree to the practices outlined in this policy. If you are using MicroPlesk through your employer (the “Tenant Organization”), your employer manages your organization account and defines specific workplace policies.
2Location Data: Collection, Purpose & Privacy Protections
To power core enterprise attendance verification and workplace safety features, the MicroPlesk Mobile App accesses and collects Location Data. We adhere to the highest privacy standards and strict Google Play User Data policies regarding geographic information:
⦿ Types of Location Data Accessed
We collect precise location coordinates (GPS latitude, longitude, and accuracy) as well as approximate network location (derived from Wi-Fi access points and cellular towers) along with the timestamp of the recording.
⦿Foreground Location Usage (Clock-In & Clock-Out)
When you explicitly press “Clock In” or “Clock Out” in the MicroPlesk mobile app, the app accesses your device's current geographic coordinates to:
- Verify that you are physically present within your company's designated geofenced office, warehouse, or authorized client site boundary.
- Prevent attendance spoofing and fraudulent remote punches.
- Stamp your official attendance log with the verification coordinate.
⦿Background Location & Foreground Service Usage
Certain organizations require field employees (such as delivery agents, sales executives, or on-site technicians) to share real-time location during their active duty shift.
- Active Work Hours Only: Background location tracking operates exclusively when an employee is actively “On Duty” and has marked attendance for their work shift.
- Visible Persistent Notification: While background location tracking is active, Android displays an ongoing persistent notification informing you that MicroPlesk is running an on-duty location service.
- Automatic Cessation: Location tracking terminates immediately as soon as you clock out, end your shift, or pause duty tracking.
- Zero Off-Duty Tracking: MicroPlesk never tracks your location before your shift starts, after clock-out, during approved leaves, or over weekends. Personal time remains completely private.
⦿Data Retention & No Commercial Sharing
Location data is encrypted and securely transmitted to your employer's isolated tenant database. We do not sell, rent, or trade your location coordinates to any third-party advertisers, data aggregators, or marketing firms. Location logs are used solely for lawful human resource auditing, travel allowance reimbursement, and attendance calculation.
3Other Mobile Device Permissions & Hardware Access
In addition to location services, the MicroPlesk mobile app requests specific runtime permissions solely to fulfill essential workplace functions:
CAMERA)Required for Selfie Attendance Verification. Captures a live facial photo when you clock in or out to verify identity and prevent proxy attendance. Photos are stored securely in your employee profile and are not shared with public facial recognition systems.
READ/WRITE_STORAGE)Allows you to select and upload document proofs, medical certificates for leave requests, expense receipts for reimbursement, or an updated profile avatar. The app only accesses files explicitly chosen by you.
POST_NOTIFICATIONS)Delivers shift start/end alerts, punch reminders, manager leave approval notices, and monthly salary slip publication notices. You can toggle notification preferences anytime in device settings.
FOREGROUND_SERVICE)Permits the app to maintain reliable on-duty shift sync and biometric synchronization while running in the background without being prematurely terminated by battery optimization.
4Personal Information We Collect
Depending on how you interact with MicroPlesk, we collect:
- Account & Profile Details: Full name, company email address, mobile phone number, employee identification code, job designation, department, and work branch.
- Employment & Payroll Records: Attendance punches, shift schedules, overtime records, leave balances, bank account details for salary disbursement, and statutory tax identifiers (PAN, EPF UAN, ESIC IP) managed by your employer.
- Technical & Device Information: Device model, operating system version, unique device identifiers, IP address, and application crash diagnostics via Google Firebase.
- Website Inquiries: Organization name, contact person name, email, and phone number when requesting a live demo or registering a new tenant workspace.
5How We Use Your Information
We strictly process data for legitimate human capital management and operational purposes:
- To calculate monthly employee attendance, compute shift hours, and record accurate check-ins.
- To generate statutory payroll computations (EPF, ESI, Professional Tax, TDS) in compliance with Indian regulatory labor codes.
- To authenticate employee logins and protect accounts with Multi-Factor Authentication (MFA).
- To verify employee proximity during check-ins using geofenced coordinates.
- To detect, troubleshoot, and resolve software bugs, system crashes, and platform performance issues.
6Tenant Data Isolation & Security Measures
Security and organizational privacy are engineered into every layer of the MicroPlesk architecture:
Strict Multi-Tenant Partitioning
All workforce data, biometric logs, salary files, and employee records are strictly segregated by Organization Tenant ID. No organization can ever view or access data belonging to another company.
Enterprise-Grade Encryption
Data in transit is safeguarded using TLS 1.3 encryption. Highly sensitive Personally Identifiable Information (such as PAN, Aadhaar, and Bank Accounts) is encrypted at rest using AES-256-GCM algorithms.
Role-Based Access Control (RBAC)
Access to attendance records, location logs, and payroll is restricted strictly to designated HR administrators and reporting managers authorized by the employer.
7Third-Party Service Providers
We engage trusted third-party service providers to assist with platform operations under confidentiality agreements:

- Cloud Infrastructure Providers (Amazon Web Services): Secure cloud hosting, container compute, and encrypted document storage located in Tier-4 certified data centers.
These third parties are strictly prohibited from using your data for any independent or advertising purpose.
8Your Rights & Controlling Device Permissions
You maintain direct control over your device permissions and personal data:

*Note: Disabling location permission will prevent the app from verifying your location during geofenced check-in actions.
Right to Access, Rectification & Data Portability
Employees can view their full punch history, attendance logs, leave balances, and salary slips directly inside the mobile app or PWA portal. If you notice any discrepancy in your records, you may request an attendance regularization or contact your company HR manager.
9Account & Data Deletion Rights
In compliance with Google Play User Data policies and international privacy mandates, every MicroPlesk mobile user has the right to permanently delete their account credentials and personal data.

10Children's Privacy
MicroPlesk is an enterprise workplace management application designed exclusively for working professionals and adult employees. We do not knowingly collect, solicit, or maintain personally identifiable information from anyone under the age of 18. If we discover that a minor has registered an account, we will take immediate steps to delete their information.
11Changes to This Privacy Policy
We may revise this Privacy Policy periodically to reflect technological improvements, legal mandates, or updates to our mobile application features. Whenever material modifications are published, we will update the “Last Updated” date at the top of this page.
